Clients generally approach us seeking psychological services. During the onboarding process, we collect the personal information necessary to provide those services. This information is securely stored in our client management system. Additionally, payment-related information, including details necessary for processing payments and rebates, is also collected and securely stored. In addition to the information collected during onboarding, we may collect further personal details during face-to-face sessions, phone calls, or other interactions as required for ongoing care.

- Onboard you and manage your care as a client;
- Schedule and manage appointments;
- Process payments and manage billing information;
- Maintain accurate records of your care, including session notes;
- Communicate with you regarding your appointments and any related matters; and

By engaging in our services, including participating in the onboarding process, face-to-face sessions, and providing personal information, you consent to the collection, use, and disclosure of your information as described in this Privacy Policy. If you do not agree with this policy, please refrain from using our services.

Your personal information, including information collected during onboarding, payment details, and session notes, is securely stored in our third-party-provided client management and payment systems, which meet industry standards for data protection. We take all reasonable measures to ensure the confidentiality and security of your information.
4. Third Party Providers
We use third-party providers to host our systems and store client details. These providers are committed to maintaining the security and confidentiality of your information. Additionally, some of our administrative and IT team members operate remotely. All team members, regardless of location, are held to the highest standards of confidentiality and are fully trained in data protection and privacy practices. While our IT staff may assist with technical support and system maintenance, they do not have access to any personal client information. Only authorised administrative personnel and practitioners access client data, and always in accordance with this Privacy Policy.
5. Legal Disclosures
In certain circumstances, we may be required by law to disclose your personal information to third parties, such as in response to a subpoena or other legal process. If we are asked to provide your information under such conditions, we will notify you promptly, unless prohibited by law, so you are aware of the disclosure.
6. Data Retention
If you have engaged in sessions with our practitioners, we are required by the Australian Health Practitioner Regulation Agency (AHPRA) to retain your information for a minimum of seven (7) years following your last consultation. This requirement ensures compliance with AHPRA’s regulations, which all psychologists must adhere to. For clients under the age of 18, records are kept until the individual turns 25 years old. We retain your personal information only for as long as necessary to fulfill these legal obligations or as otherwise required by law.

11. Data sharing & third parties
Chat data may be stored on and processed by third-party providers operating servers outside Australia. We do not sell personal information. Where third parties process personal data on our behalf, we require them to implement appropriate security and confidentiality measures. 12. Retention, access and correction
We retain chat logs for a limited period necessary to provide and improve the service. You may request access to, correction of, or deletion of personal information we hold about you – see the “Access and correction” and “Complaints” sections of this Privacy Policy for how to make a request.
13. Security
We take reasonable steps to protect information from misuse, interference and loss, and from unauthorised access, modification or disclosure. However, no internet or electronic storage is completely secure; avoid sharing highly sensitive personal details in the chat.
14. Not an emergency service / Mandatory reporting
Logic Lounge Psychology practitioners do not provide an emergency or instant response service through this chat. If we believe someone is at immediate risk of harm (for example, imminent risk of ending their own life), we may be required under Australian law to notify police and/or emergency services. Use emergency services or the crisis lines above if you require urgent help.
